Late Cancellation Policy

Effective as of 12 May 2025

This Cancellation and Rescheduling Policy (“Policy”) outlines the terms and conditions that apply when booking, rescheduling, or cancelling appointments with Holistic Sorores (“we,” “us,” or “our”). By scheduling an appointment, you (“you” or “the client”) acknowledge and agree to the terms set forth below.

  1. Appointment Rescheduling
    1.1 Clients must provide a minimum of 48 hours' notice to reschedule an appointment.
    1.2 Rescheduling with less than 48 hours' notice may incur a cancellation fee equal to 50% of the total consultation fee.
    1.3 All rescheduling requests are subject to availability and are not guaranteed.
  2. Late Cancellations
    2.1 A cancellation is considered late if made with less than 48 hours' notice prior to the scheduled appointment time.
    2.2 A late cancellation fee of 50% of the total consultation fee will apply.
  3. Missed Appointments (No-Shows)
    3.1 Failure to attend a scheduled appointment without providing prior notice will be classified as a missed appointment.
    3.2 A missed appointment fee of 50% of the total consultation fee will apply.
  4. Patient Forms Requirement
    4.1 All required patient forms must be completed and submitted prior to the scheduled appointment.
    4.2 Failure to submit required forms in advance will result in automatic cancellation of the appointment.
    4.3 A cancellation fee of 50% of the total consultation fee may apply.
  5. Late Arrivals
    5.1 Clients who arrive late for their scheduled appointment will be seen for the remaining time allocated to their original appointment slot.
    5.2 Appointment times will not be extended to accommodate late arrivals.
    5.3 The full consultation fee will apply regardless of the reduced session time.
  6. Emergency Situations
    6.1 In the event of a genuine emergency, clients must notify us as soon as reasonably possible.
    6.2 Fee waivers for cancellations due to emergencies may be considered under Clause 8 (Discretionary Waiver).
  7. Communication of Changes
    7.1 To cancel or reschedule an appointment, clients must contact us via phone or email at the earliest opportunity.
    7.2 If contacting us outside of business hours, clients must leave a voicemail or send an email. We will respond as soon as possible during business hours.
  8. Discretionary Waiver
    8.1 At our sole discretion, we may waive cancellation or missed appointment fees in exceptional circumstances.
    8.2 Waiver decisions will be based on the presentation of evidence of genuine hardship or unforeseen events beyond the client’s control.
    8.3 Such waivers are not guaranteed and will be assessed on a case-by-case basis.
  9. Acknowledgement
    9.1 By booking an appointment, you confirm that you have read, understood, and agree to comply with this Policy.
    9.2 Adherence to this Policy ensures fair and consistent management of our schedule, allowing us to provide timely and effective care to all clients.
